Payroll Manager, USA



About the Role

The role is responsible for running full cycle payroll and all related activities for over 300 employees across the USA, including local exempt, non-exempt and international assignees. This includes all aspects of accurate and timely preparation, processing and financial reporting related to the payroll system, while ensuring overall compliance with local, state and federal requirements.

This role allows to expand knowledge and experience while having an an enriching collaboration with different stakeholders in a dynamic environment including Region, Leaf, Ready-Made Cigarettes Manufacturing & Market operations.


What you will do

Payroll Processing:




  • Process different payroll via payroll system for local employees and international assignees, in an accurate and timely manner, by inputting required data, reviewing and submitting payroll. This also includes applying proper tax deductions and withholdings, liaising with tax authorities and tax advisors, and in compliance with federal and state laws
  • Ensure employee master data is properly and accurately maintained & updated in payroll system, for all types of employees (full-time, permanent, international assignees etc.)
  • Support continuous development of the payroll system through liaising with current vendor/ assessing new vendors to efficiently resolve issues as well as work on system configuration, as necessary



Reporting & Controlling:




  • Prepare and submit required payroll-related reports and journal entries (monthly, quarterly, ad-hoc etc.), while partnering with necessary stakeholders (i.e. Finance function, tax advisor, payroll system provider etc.)
  • Complete and submit reports/ reconciliation related to International Assignees payroll) through Deloitte system
  • Provide support, as needed, to the Total Rewards Manager on the budgeting exercise at the different cycles through the year, in addition to managing the global budgeting platform, Orchestra
  • Ensure compliance with JTI internal controls and procedures and local regulations, at all times
  • Submit journal entries in accurate and timely manner, ensuring financial information is correct and updated at all times
  • Manage the International Assignees payroll administration, follow-ups, analysis, tax administration, etc., in communication with Global Mobility, International Assignees, HQ, Finance and third parties involved at any point of the process



Pension program - Support on 401(K) Administration:




  • Participate in the review process of the 401(K) legal plan documents, ensuring compliance with actual respective regulations (i.e. Internal Revenue Service IRS/ U.S. Department of Labor DOL)
  • Apply necessary transactions to ensure proper 401(K) matching contributions and deductions through local payroll, in addition to yearly reconciliation process



Benefits:




  • Participate in the annual review of benefits carriers & portfolios for all USA entities and ensure benefit programs are in line with market practices
  • Participate in managing benefits administration and enrolments, in addition to providing support on various benefit plans (Short-term & Long-term disability, COBRA, termination of coverage, etc.), and updating the payroll system accordingly
  • Provide support through ESPP enrolment process, if needed, and ensure necessary applications through payroll



General Support:




  • Liaise with payroll system provider on payroll issues, enquiries, and corrections
  • Respond in a confidential and timely manner to employees or stakeholders' requests/ questions relating to payroll practices, paychecks, withholding tax issues or wage adjustments etc.
  • Ensure proper collaboration with tax and legal advisors, as necessary, to ensure payroll tax compliance for both local employees and international assignees
  • Communicate payroll and tax updates via newsletter or email, if and as needed



Who We Are Looking For

A dynamic, enthusiastic, and result-oriented person, with:




  • Minimum of 3 years of payroll experience, reflecting a solid Compensation & Benefits profile
  • Experience working with GBS on different HR activities
  • Demonstrated working knowledge on HR/ payroll systems (i.e., SAP, paylocity etc.)
  • Proficient skills in Microsoft Office applications (i.e., PowerPoint, Excel, Word, Outlook)
  • Ability to work independently and as part of a team, with proven experience of cross-functional collaboration
  • Experience demonstrating ability to communicate efficiently across the organization
  • Proven experience in problem-solving
  • Demonstrated organization, planning and time management skills
  • Fluency in English language
  • High integrity and sense of responsibility
  • Proven experience of effective working in culturally diverse environment
  • Experience and/ or knowledge of US payroll and pension is advantageous.
