The Opportunity:

The Event Manager I position provides leadership, professional expertise, and direction in the planning and execution of high-quality events and functions hosted by the Division of Digital Learning/Center for Distributed Learning (DDL/CDL). Demonstrates a high level of creativity, resourcefulness, strategic planning, and dynamic decision-making with significant impact on university or functional unit/area. Facilitates the needs of clients, sponsors, and vendors as they relate to events.

This is a visiting and renewable position. Visiting positions are based on circumstances, such as funding sources, which control the length of time for which the position is available. Position will be renewable up to a period of four years.

Responsibilities:


  • Collaborates with departments in DDL/CDL to plan and execute meetings and special events; includes, but is not limited to, representing areas in planning meetings, anticipating multimedia challenges for these events, and designing multimedia equipment setups and elements for events.

  • Reviews and approves event related marketing information for promotion of meetings and events in collaboration with the Communication Specialist or Communication Director.

  • Leads for events both virtually and onsite by directing and producing all aspects of the event including being present and acting as liaison between venue/modality and clients.

  • Chairs or co-chairs event planning committees and serves as the project manager for logistics, financial estimates, facility contracts, site selection, and other related responsibilities.

  • Solicits and schedules planning committee employees and delegating tasks for successful events.

  • Reviews and ensures compliance with all university and external policies and procedures.

  • Responsible for updating and maintaining event software applications used for registration, ticket tracking, and revenue generation.

  • Develops and controls event operational budgets in conjunction with the Program Director and the AABC.

  • Produces reports for budget analysis and data collection.

  • Conducts walk-throughs of venues to assist with selections and AV needs.

  • Collaborates with caterers and other vendors as needed. Coordinates with the DDL Reservationist on high-level events or visitors in the DLC facility.

  • Meets with clients to access their needs and collaborates with iDev for AV needs.

  • Coordinates with CDL Graphics and iDev on graphic creation and website development.

  • Arranges and is the liaison for keynote speakers as required. Ensures payment is done in a timely fashion and on budget.


Minimum Qualifications:

Bachelor's or Master's degree and 4+ years of relevant experience, or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.

Preferred Qualifications:


  • Prior experience as event planner in higher education (3 or more years).

  • Excellent Communication Skills.

  • Ability to manage cross functional teams.

  • Excellent organizational skills and time management.

  • Proficient in Microsoft Office products.

  • Prior budget experience.

  • Prior experience in hospitality or other customer service positions.

  • Ability to work autonomously but knows when to ask for assistance.
