The Executive Assistant to the CEO and COO reports directly to the CEO of eMoney and supports both the CEO and COO. The Executive Assistant manages multiple complex calendars, plans and organizes events of all sizes, and coordinates domestic travel as needed. This role collaborates with a team of other executive assistants to handle various administrative tasks to ensure smooth functioning of the organization. The Executive Assistant to the CEO and COO is responsible for handling confidential information and maintaining professionalism in dealing with senior executives.This role works as a trusted advisor, collaborating extensively with the CEO, COO, and leadership team. The Executive Assistant is responsible for building a positive team environment and establishing working relationships inside and outside of the group.
This role requires moderate skill set in program management and proficiency in discipline, organization, communication, and follow through. This person must be able to work effectively across the organization under minimal supervision with significant latitude for independent judgment.
Job Responsibilities
  • Manage schedule for CEO and COO. Drive prioritization of time in internal & client meetings, along with other scheduling demands. Establish and maintain time management system in Outlook calendars
  • Partner with CEO/COO to manage schedules and day-to-day logistics by exercising their discretion to ensure their time is used most effectively
  • Be the trusted advisor to the CEO/COO. Provide perspective on organizational matters that facilitates effective decision-making. Maintain confidentiality of all conversations, records, files and information; and exercise judgment and discretion in matters of a sensitive or confidential nature with the highest level of integrity
  • Act as the communication arm for the CEO/COO and leadership team with other parties internally and externally.
  • Manage correspondence (emails, reports, memos, internal and external communications) that facilitate the ability to execute key goals and initiatives.
  • Actively manage and facilitate staff meetings, strategic off-sites, and planning sessions (including both internal & external leaders) for the CEO/COO and leadership team. Set agenda,drive commitment and alignment to plans to ensure desired outcomes are achieved.Provide follow-up and critical feedback on items raised during meetings
  • Proactively manage internal/external projects required by CEO/COO. Provide updates, track progress until complete
  • Manage the annual budget for the CEO/COO departments. Meet quarterly with the finance team to review/reconcile results and ensure alignment of forecasts
  • Effectively manage all corporate Board meetings and communications. Interact with Board of Directors, senior leaders at (Fidelity Management & Research) FMR LLC, company executives, and other constituents to ensure alignment with eMoney and board priorities.
  • Manage, organize, and support all aspects of eMoney Board activities/meetings including: working with the leadership team to determine agenda items, objectives, logistics, and coordination of Board materials. Prepare and distribute Board presentations. Attend Board meetings, prepare minutes and follow-up communications
  • Manage travel for CEO/COO with wide latitude for decision making and limited oversight. This includes being available frequently on off-hours to support changes in schedule and priorities. Submit and reconcile expense reports in timely & accurate manner
  • Serve as senior leadership expense approver - ensuring proper documentation, budgeted expenditures are within specified limits, and reports are processed in a timely manner
  • Enter and manage invoices, verify transactions, and maintain accurate records for budgeting purposes, ensuring accuracy and compliance with organizational policies.
  • Provide general administrative and clerical support including mailing, scanning, faxing and copying
  • Manage onsite meetings and company events including being in the office to coordinate logistics, booking conference rooms, arranging catering, coordinating equipment, distributing materials, and ensuring all necessary resources are available.
  • Maintain electronic and hard copy filing system as needed
  • Maintain a Positive attitude and act as a strong representation of company values
  • Ability to travel as needed
Requirements
  • Bachelor's Degree or equivalent experience required
  • 8+ years of proven administrative or assistant experience
Skills
  • Ability to prioritize and handle multiple assignments at any given time
  • Flexibility to take on new/different tasks
  • Demonstrated ability to design and improve processes
  • Very familiar and comfortable with online travel-booking systems
  • Understanding of corporate T&E policy, and expense report filing
  • High levels of attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Highest degree of professionalism and confidentiality
  • Excels at Collaboration extensively across multiple internal and external organizations at the most senior levels
  • Strong resource management & influencing ability across all levels and functions of the company
  • Mastered skills in Microsoft Office especially Outlook, Word, Excel and PowerPoint

The salary range for this position is $76,000 - $103,000; commensurate salary to be determined based on skills, professional background and expertise. This position is also eligible, pursuant to applicable eMoney policies, for the annual bonus program, retirement contributions, health insurance, sick leave, parental leave and paid time off.
