Summary:

The Continuing Education (CE) Assistant will play a pivotal role in advancing the Foundation’s professional development activities. Responsibilities include issuing certificates and reporting CE credits, managing internal records, and adapting to changing regulations to ensure compliance with credit eligibility requirements. In addition, this position will assist the Society (“ISCEBS”) by providing administrative support to its committees and governance.

Essential Duties and Responsibilities

  • Issue certificates and accurately report CE credits earned to both members and non-members of the Foundation for participation in the Foundation’s diverse range of programs, courses and educational conferences. 
  • Maintain meticulous internal records for ongoing activity reports, ensuring a comprehensive overview of continuing education efforts. 
  • Adapt procedures to ensure compliance with evolving regulations regarding issuing/reporting continuing education credits. 
  • Efficiently organize and archive records for both on- and off-site storage. 
  • Deliver exceptional customer service, promptly addressing member inquiries and providing valuable information to support their educational pursuits.
  • Assist with the invoicing and receipt process for fees paid. As trained, may act as primary processor for invoices and receipts.
  • Collaborate with regulatory agencies governing continuing education credits to secure approvals for new programs and gain credit eligibility.   
  • Assemble and distribute materials for ISCEBS governance and committee meetings and chapter leadership conferences. 
  • Handle logistics and communication aspects for ISCEBS and CEBS meetings.
  • Coordinate reimbursement requests for ISCEBS governance and committees. 

Supervisory Responsibilities: 

No formal supervisory responsibilities; however, incumbent may be required to train/mentor more junior staff members.

Requirements

Required Education/ Experience:

  • A High School diploma or equivalent is required; an associate or bachelor's degree is preferred. 
  • A minimum of 3 years’ successful experience in an administrative role. 
  • Experience with Continuing Education is strongly preferred; from submission/filing of CE, to issuing participant certificates, and reporting credits.

The International Foundation will always consider candidates with an equivalent combination of education and relevant experience.


Minimum Qualifications/Skills:

  • Strong organizational skills with strong attention to detail and accuracy-based mindset.
  • Proven ability to effectively manage records, certificates, and logistical details..
  • Excellent customer service skills, including the ability to respond to member inquiries and provide information promptly.
  • Adaptability to evolving regulations and procedures affecting credit issuance and reporting.
  • Effective communication skills for coordinating with regulatory agencies, committee members, and other stakeholders.
  • Experience in coordination and logistics for meetings and conferences.

Travel Requirements:

This position may intermittently require that the individual travel for work; but only up to 10% of the time.


Hybrid Work Environment:

This position is expected to work from our corporate headquarters office in Brookfield, WI. This is an environment with typical office conditions, including lighting, noise, seating and equipment. 

New hires are expected to be fully onsite during the training period. Then, once fully trained, the Foundation operates on a 60/40 Hybrid schedule; with 60% being onsite at our headquarters in Brookfield (Tuesdays, Wednesdays, and Thursdays); and up-to 40% being optionally remote (Mondays and Fridays) and as business needs allow.

COMPENSATION, PERKS & BENEFITS:

The pay rate for this position is: $18.65 with a 3% increase after 6 months.
