Job Summary

Uses professional concepts to apply organization policies and procedures to oversee a variety of ongoing administrative operational issues. Administers defined operational program. Analyzes and resolves operational problems of moderate scope.

Provides administrative support and executive assistance to support the department's Benioff Children's Hospital (BCH) San Francisco and Oakland activities and will be the on-site administrative point of contact. This will include receiving inquiries and administrative requests for faculty and staff and routing such inquiries and ensuring they are completed. Such duties would include items relating to facilities, IT, HR, scheduling, correspondence management, expense reporting, office supplies, and events as needed. This role also supports the BCH Division Chief on all administrative matters regarding the department as well as providing Executive Assistance to the Chief at the BCH Oakland facility.

The individual will exercise significant discretion and independent judgment in the execution of the activities above, so the ability to work successfully with limited or no supervision and understand appropriate points of escalation will be critical for success in the role.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Department Description

The Department of Anesthesia and Perioperative Care ranks as one of the largest departments in the School of Medicine with an annual budget of $145 million. The two largest components of the annual budget are Professional Fee Income and Extramural Funds, representing 90.4% or $132 million (including ZSFGH professional Fees) and 6.9% or $10.1 million of the annual budget respectively. In terms of extramural funding, the Department has ranked in the top ten for NIH funding among its academic anesthesia department colleagues in all of the last six years. The Department consists of ~180 faculty members, 18 fellows, 73 residents, 10 interns, and 195 staff employees. The Department manages approximately 52,000 assignable square feet of space in multiple sites.

The missions of the Department include research (basic and clinical), teaching, patient care and public service. The Department is organized across seven sites. The Department of Anesthesia provides anesthesia service for UCSF's seven integrated facilities: Moffitt/Long Hospital (preop, inpatient and outpatient), Zuckerberg San Francisco General Hospital (inpatient and outpatient, including a very active trauma service), San Francisco Veterans Affairs Medical Center (inpatient and outpatient), the UCSF/Mt. Zion Medical Center (inpatient and outpatient, including a chronic pain management clinic), the Orthopedic Institute, Mission Bay Hospital (inpatient, out patient, OBGYN, and Pediatric) as well as the off-site Mission Bay IVF clinic, and Benioff Children's Hospital Oakland.

Required Qualifications


  • Bachelor's degree in related area and a minimum of 1 year of experience / or equivalent experience / training.
  • Ability to use sound judgment in responding to issues and concerns.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Working knowledge of Microsoft Office Suite, Adobe Pro and other computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Proven ability to function and participate effectively as part of a collaborative team and with independence

  • Experience in an academic environment supporting faculty
