Overview

The Clinical Services Coordinator I will provide a variety of clinical and administrative support for the Center for Autism and Related Disorders (CARD) clinic triage team. This staff member will review reports; attend and participate in meetings; review, edit, send, and appropriately route correspondences; provide support and coordination of services among key groups; receive and organize questionnaires; interact with patients, families, clinicians and other staff in a courteous and professional manner. This position will also assist with events and enter data.



Responsibilities

    Assist the Center for Autism and Related Disorders (CARD) Triage team and Care Center team with monitoring work queues in the Epic system; check for accuracy; ensure patients are on the appropriate wait lists for services; and to capture errors that will affect future template and service planning. Review Tableau report to capture overlapping or duplicate referrals among internal departments.
  1. Receive and monitor department questionnaires to confirm appropriateness of currently scheduled services, support providers, and sends data to the Medical Records department.
  2. Facilitate effective communication and coordination among the Care Center, clinicians, and other Institute departments regarding the wait list for services.
  3. Attend Care Center and Triage Team meetings.
  4. Send out acceptance or courtesy waitlist letters to patients. Engage in proactive communication to solicit updated information for patients awaiting services across CARD locations inclusive of telehealth services.
  5. Assist families with completing forms, reviewing information, and sending items to the Medical Records department, patients, pharmacies, schools and physician offices.
  6. Screen, channel, and prioritize clinically related calls and correspondence according to department protocols. Refer patient and family communications as appropriate to other Institute employees (e.g., Nursing, Social Work, and those in the therapeutic discipline).
  7. Assist with department events (i.e., ROAR, Open House, Annual Autism Conference, and STAR); clinic activities; and workshops.
  8. Serve as back up for front desk Care Center staff.


Qualifications

QUALIFICATIONS:

  • Must successfully complete and maintain appropriate certification and fluency with appropriate computer systems (i.e., EPIC) according to the timeline established by the clinic/program/department.

EDUCATION:

  • High School diploma or GED is required.
  • Associates degree, or equivalent college credits, is preferred.

EXPERIENCE:

One year of administrative experience in a medical office or clinic setting is required.
